If you’ve heard of TickTick before, there’s likely a good reason for it. TickTick is a powerful task management app with advanced abilities to organize your tasks efficiently.

Getting to grips with new software can be overwhelming. That’s why we’ve put together a guide to help you get the most out of TickTick. You don’t need to clutter your desk with sticky notes to stay organized; here’s how you can organize tasks using TickTick.

1. Understand TickTick’s Sidebar

The sidebar provides quick access to TickTick’s primary features. You can access it at any time by swiping right on the homepage. There are two types of lists: smart lists and regular ones. Examples of smart lists includeToday,Tomorrow, andInbox. TickTick automatically sorts new tasks into these lists, saving you the work.

Some lists are hidden by default which you may want to enable. To add lists to the sidebar, hit the settings icon in the lower right corner. Then, swipe across to Smart Lists. Now you can toggle which lists to display or hide. Swipe across once more to reach theTagssection. Here, you can manage existing tags or add new ones by hitting theplusbutton (+).

2. Create Lists and Folders

TickTick offers a neat way to structure your tasks using lists and folders. To add a new list, navigate to the sidebar and hitAdd List. Assign the list a name and color and you’re ready to go. You can also set an icon by hitting the three lines next to the List Name field.

Folders are a higher storage level that you can use to group similar lists. As an example, you can group a shopping list and household chores under an “Admin” folder. If you have more than one list you’d like to group, hold and drag one of them into the other to create a folder. To keep your sidebar organized, you can collapse and open folders by tapping on them.

3. Add New Tasks

TickTick’s versatile approach to task management is why it’s one of thebest to-do list apps for Androidand other devices. You can set task due dates and repeat reminders, add tags, and set priority labels.

To add a task, hit theplusbutton (+) from the homepage. Then type the task’s name and add a description (if necessary). Beneath the Description field, hit the icons to set due dates, add tags, and set a priority.

For further depth, you can hit the full-screen button to the right of the Name field. Hit the three dots in the upper right corner to access additional options, including adding a location, attaching a file, and converting a task to a note. From here, you can add subtasks that you could use tocreate a work breakdown structure.

4. Use Shortcuts to Speed Up Your Workflow

Smart Recognition is one of many ofTickTick’s hidden tricksto boost your productivity. This feature recognizes dates, times, and other attributes in a text format. Typing the following keyboard shortcuts, you can set attributes to tasks in less than a second:

Another hidden trick is to long-press on theplusbutton to input tasks using a voice command. Voice input also uses Smart Recognition, so you don’t need to set details manually.

5. Sort and Group Tasks

After using TickTick for a while, you may find that tasks build up, making lists harder to manage. Thankfully, TickTick offers a solution to manage overflowing lists with its advanced grouping and sorting features.

To sort tasks within a list, tap the three dots in the top right corner. HitSortto access the sorting and grouping options. You can group tasks by their due date, title, or priority level. To change the order of tasks within a group, use the options beneath theSort Byheading.

To tidy up lists further, you can hit theHide Completedoption to remove completed tasks from the display. You can also control how much information is visible by hitting theShow/Hide Detailsbutton, also found in the three dots menu.

Organizing and prioritizing tasks will help you gain a clear picture of what requires your attention immediately, and what can be done later. This will stop you from working on things in the wrong order and losing time.

6. Use the Eisenhower Matrix

Among all of TickTick’s treasures, you canprioritize tasks using the Eisenhower Matrixwith its dedicated feature. The feature isn’t displayed by default, so you’ll need to enable it manually.

To enable the Eisenhower Matrix feature, head toSettings, then hit theTab Baroption. Here, you’ll see a list of disabled and enabled features. Hit theplusicon (+) next to the Eisenhower Matrix option to add it to the tab bar. Now, you can access it at any time by hitting the flower-shaped icon on the lower panel of the homepage.

TickTick’s priority labels are synced with the Eisenhower Matrix system, so you don’t need to add tasks manually. You can edit the appearance of the matrix by hitting the three dots in the top right corner and selectingEdit.

7. Catch Up On Missed Tasks

Unless you’re a robot, there will always be occasional tasks you don’t get around to completing. To help you catch up, TickTick offers a feature to reschedule all tasks in seconds.

ThePlan Your Dayfeature displays all missed or due tasks that you’re able to process one by one. To access the feature, head to theTodaytab then hit the small circular icon in the top right corner.

For every task that appears, you have the option to mark it as done, shift it to tomorrow, or push it to a later date. you’re able to also delete the task if it’s no longer relevant. Now, you can catch up on your tasks in a few simple steps.
